Your Tasks:
Main Tasks
- Managing and drafting correspondence with external partners, including confidential information
- Planning, preparing and following up on meetings and projects
- Organising and managing staff travel schedules including meetings at conferences
- Preparing agendas for and taking minutes of management meetings
- Drafting presentations for the management and the board
- Completing expense reports for the management
- Following up on inquiries and requests by management to external and internal partners
- Drafting and maintaining internal regulations up to date
- Filing and record-keeping, both digital and analogue
Ancillary Tasks
- Formatting and visualising documents
- Supporting foreign staff in settling in Switzerland
- Managing social media channels, including planning and drafting posts
- Office Management and administration of Jira & Confluence tools
Your Profile:
- You have a bachelor’s degree or a commercial apprenticeship (KV) with further education
- You have in-depth knowledge of Microsoft Office especially Excel, and Power Point. Knowing Jira and Confluence is a plus
- You are fluent in English and German. Further languages are a plus
- You have strong organizational skills with the ability to prioritize multiple tasks simultaneously and embody a strong spirit while working under pressure
- You are well-versed in social media and enjoy writing catchy posts
- You show initiative, are pragmatic and assertive, with a strong hands-on approach
- You are forward-thinking, seek opportunities and propose solutions, are trustworthy and know how to handle sensitive and confidential data
- Experience in the music industry and having worked in an international environment are a plus
